Executive Assistant

Administrative duties including handling heavy phones, calendar management, scheduling travel, preparing notes documents, and general office management tasks. Track clients and projects, including in-house development.

Answers phone, screens, logs, and places calls. Onboards casting offices including administering database access and providing training/support for daily database use.

Provide executive support to two department heads, including scheduling, call management, and correspondence. Manage billing processes related to client commissions, including tracking client data, payment terms, and employment agreements.

Field and prioritize incoming calls, track call logs, and manage rolling calls. Oversee and maintain submission tracking, ensuring timely follow-ups and organization. Handle logistics for meetings, events, and presentations as needed.

Manage calendars for supervising producer including scheduling and confirming meetings both internally and externally. Help manage production calendar including liaising with executives, talent and other assistants internally and externally.

Manage the President’s calendar and coordinate meetings and appointments with both internal and external participants. Take detailed transcription of creative calls and conversations as needed, transforming notes into viable documents to be shared with partners and creatives.
